Mark didn’t have minutes from the last meeting, but he and Danielle will work together to get those.

Danielle took minutes for this meeting. It was discussed that we get back to the Scrum Work Model of working within a fixed time frame. Our current focus is on enrollment management. The fixed time frame is two weeks as we will meet again in two weeks.

  1. Enrollment Management

Sharyn Eveland, Vicki Jacobi, Tori Furman, Jill Brown, and !ldrin Luben couldn’t find a time to meet after

the last Access meeting. Sharyn worked with Jill again to obtain reports with the total of all earned credits as well as total transfer applicable units for Psychology majors. There were several issues with the data: 1. The computations for the credits earned is wrong; 2. The students have to be assigned numbers, and they lose their identifier so counselors and/or advisors have no way to know who that student was for contacting purposes later; 3. There is nothing in the report about students who have completed. 4. Many pieces of the reporting have to be done by hand.

Sharyn has outlined the goal, tactics, and information needed in the drafted Increase Completion Intentionally guide and handed it out to the group.

The work that is required to contact students before the schedule is created during the week of March 2nd will not be done in time. The focus now will be to analyze and validate the schedule that is created out of the schedule meetings.

The work that can be completed in the next two weeks is still focused on enrollment management and specifically the Psychology degree. The following steps need to be completed: 1. List of courses part of the degree including Gen Ed; 2. List of Psychology majors; 3. Classes the students have completed; 4. Prioritize the spreadsheet; 5. Analyze whether or not the schedule that was created meets student need;

  1. Institutional/ replicate

Mark will complete the first three steps using the Transcript Report he currently gets. Step 4 will be completed by Jen Altenhofel and Adam Bledsoe. The group will complete step 5 during the next Access meeting.

 

Discussion also included the use of DegreeWorks in the future. DegreeWorks is not up and running yet, but may be available as soon as Fall 2015. DegreeWorks may be used in the future to pull the information that we are currently getting from the Transcript Report that Mark gets.

The question of how enrollment management relates to access was posed. It was discussed that this technique could be used for any cohort, so a group that is disproportionately impacted could be looked at.

  1. Student Workers/Classified

This will be discussed during the March Access meeting.

  1. Cognos Training

Using Equity money, there will be an upcoming Cognos training facilitated by same group that did Cognos training with Taft College before. Right now, there will be 3 basic training days followed by 2 advanced days of training. Individuals mentioned to be attending the advanced days of training include: Brandy Young, Mark Williams, Adam Bledsoe, Sharyn Eveland, and Nicole Avina.

  1. Manuel Pastor

Manuel Pastor is scheduled to present on March 20th. Whether or not the meeting will be mandatory for faculty is TBD.
